What's new in 2.0 — Part 4
Part 4 of 2.0. These changes are part of version 2.0, which is installed fresh: it does not open the data of 1.2.1 (see What's new in 2.0). Where this page speaks of installing it over your current version, or of a first start that backs up and updates your data, that is how later updates of 2.0 install.
This version lets several PCs of an office work on the same data at the same time, lets each user arrange their own Dashboard, and brings QuickBooks Online, eBay, Etsy and four more 3PL connectors closer. How you work on one PC does not change. Install it over your current version like any update: the first start backs up your data and then opens it as it is - this version does not change how your data is stored. See How to install an update.
Several PCs, one set of data (office server)
- One PC keeps the data, the others use it. With a license that includes office server mode, an Admin turns one PC into the office server (Settings › Office Server). The other PCs of the office connect to it and work on the same companies at the same time, each person signed in on their own PC. Nothing goes to the cloud. See How to use one set of data on several PCs.
- Connecting a PC takes one code. The office server shows a connection code such as
192.168.1.20:8443 · 3F9A-12C4-B7D1-E09A; type it on the other PC (in the setup wizard, or in Settings › Office Server). The code includes part of the office server's certificate, so a PC connects to your office server and nothing else, over an encrypted connection. - Private networks only. Turning the office server on first adds a Windows Firewall rule (Windows asks for an administrator once) that lets the other PCs in on private networks only - not on a café's or a hotel's network. The card warns, with the fix, when a firewall rule blocks the app, the rule is missing or Windows treats the network as Public.
- Seats across PCs. The license's seats count the people signed in on all the PCs together; one person signed in on two PCs counts once. Users › Active Sessions shows each session's PC. The License page shows the license's Office server seats. See How sign-in sessions work.
- Each PC keeps its own company and windows. Two people can work in two companies at the same time. Exports and PDFs are saved on the PC you work on; backups are made and kept on the office server PC.
- Machine settings stay with the machine. The data folder, background mode, updates and the Danger Zone are set on the office server PC; the other PCs say so.
- One version everywhere. Every PC runs the same version as the office server; a PC that is older or newer says which one to update. See Updates on several PCs.
- When something goes wrong, a connected PC says so plainly: the office server cannot be reached, its certificate has changed, the versions differ. See Office server and other PCs.
Office server mode needs a license that includes it (ask your software provider). Without it nothing changes: the app works on one PC as before.
Your own Dashboard
- Customize (top right of the Dashboard) lets each user choose which cards and charts they see, in what order and how wide, per company. New widgets to choose from: Open Purchase Orders, Stock-out Risk, Expiring Batches, Restock Requests, Warehouse Health and Walmart Seller Performance (Beta).
- An Admin can save an arrangement as the company default for everyone who has not made their own.
- You are offered only the widgets your role may see. See How to customize the Dashboard.
Connections on the way
These are built and show Coming soon until each has been tested with a real account; an update switches each one on. Until then nothing about them changes what you can do today.
- QuickBooks Online. Sign in with QuickBooks instead of copying Intuit keys; every sync first shows what goes to QuickBooks and which names (customers, vendors, accounts, items) your QuickBooks is missing, and creates nothing there to make a name fit. The QuickBooks Desktop files work as before. See How to export to QuickBooks.
- eBay and Etsy straight from the marketplace. The eBay Import and Etsy Import pages will offer a pull from the marketplace next to the downloaded file: the same preview, nothing saved until Import, nothing written to eBay or Etsy. See How to import eBay reports.
- Sign-ins through your software provider's connection service, so no secret of the provider's apps is ever inside the program. What passes through it is described under Privacy.
- ShipBob, ShipStation, Extensiv and Linnworks connectors are built. They only read from the 3PL - its stock, the goods it received (not ShipStation) and the orders it shipped - with your own keys, and never change anything there. They stay Coming soon until each has been tested with a real account. See How to connect a 3PL.
- Flexport (Deliverr) stays Coming soon; it is built only if customers ask for it.
Safer start
- One copy per set of data. If another copy of the app already works on the same data - for example under another Windows user who shares the data folder - the app says Already running and waits until you close the other copy (Try again), instead of opening the data twice. See "Already running" when the app starts.
Updating your data
- Nothing in your data is changed by this update. The first start still backs up your data first (listed as Before an update), because the version changed; there is no "Upgrading your data" step. Every figure stays exactly as it was.
- Going back to 2.2 is possible. Version 2.2 opens the data and the backups of this version (it backs your data up first). It shows its standard Dashboard (your arrangements are kept for when you update again) and has no office server mode: if this PC is an office server, turn the office server off before you install 2.2.
